Quick answers to the campaign settings questions we get most often.
There are two delays, and they use different units:
Sender delay (minutes). The minimum time one mailbox waits before sending its next email. Set it in the sender's settings under "Minimum Delay Between Emails". We recommend 10 minutes.
Campaign delay (seconds). The minimum time between any two emails in the campaign, whichever sender sends them. Set it in the campaign settings under Daily Sending Limits. The default is 30 seconds and the maximum is 290 seconds.
The slower of the two wins. With few senders, the sender delay is usually what limits your speed. See Campaign delays vs. sender delays for worked examples.
Sender limit: the most one mailbox sends per day. We recommend 20–25 cold emails per sender. Manysenders mailboxes are fixed at 25.
Campaign limit: the most the campaign sends per day, across all its senders. Follow-ups count toward it too.
What a campaign actually sends in a day is the lowest of: the campaign limit, the total of its senders' limits, what the delays allow within your sending window, and your remaining credits. The Sending Target Simulator in the campaign settings shows the real number. See Account and campaign limits.
Turn on scheduled sending to choose the days and hours the campaign sends.
The schedule runs in the time zone you pick in the campaign settings, which defaults to UTC. If emails go out at the "wrong" time, check this setting first.
Turn on Use prospect's time zone to send in each prospect's local time where we know it. Prospects without a known time zone use the campaign's time zone.
You can also set a start date and time for the campaign.
Spintax picks one variation at random for each email, so your messages aren't identical. Put the options inside curly braces, starting and ending with a vertical bar and separating each option with one:
{|Hi|Hello|Hey|} {{FIRST_NAME}},
I hope you're having a {|great|productive|} week. You can put variables inside spintax, e.g. {|Saw what {{COMPANY}} is doing|Came across {{COMPANY}}|}. Only use variables that are filled in for every prospect. More examples: How to use spintax in cold emails.
Go to CRM → Settings → Custom Variables and rename a custom field (for example to ICEBREAKER). Save.
In your CSV, add a column with exactly the same name and fill it in for each prospect.
Upload the CSV in the campaign's Prospects tab and map the column to the variable.
Use it in your email as {{ICEBREAKER}}.
If a prospect's value is empty, they get the status Missing Tag and won't be sent until you fill it in. To send a completely different first email to each prospect, see Personalized email bodies for each prospect.
Add a follow-up step: pause the campaign, add the step, resume. It applies to existing and new prospects.
Stop new prospects but keep follow-ups going: in the campaign's Daily Sending Limits, set the limit for initial emails to 0 and set follow-ups as the priority. No new prospects are contacted, and everyone already in the sequence keeps getting their follow-ups.
Replies: the sequence stops automatically for anyone who replies. To restart follow-ups for someone who replied, set their status back to "Status Not Set".
Coworker replies: turn on "Stop sending to coworkers on reply" to stop the sequence when a colleague of your prospect replies.
Out-of-office replies: when a prospect's out-of-office auto-reply comes in, their sequence pauses for 14 days and then resumes automatically. You don't need to do anything.
Stopped because of bounces: campaigns pause automatically when the bounce rate passes 10%. Clean your list and relaunch once. See How to fix 'Campaign stopped: Bounce'.
Prospects not moving: check their status (Missing Tag, Missing Sender, Stuck, Out of Office…). See Understanding prospect statuses.
Low volume: check the Sending Target Simulator, your senders' limits and connection status, the schedule's time zone, whether initial emails are set to 0, and your credits.
